Who we are and the scope of this notice

NovaX Studios Ltd. is a private limited company based in the United Kingdom. For the personal information described in this notice, NovaX Studios Ltd. is the data controller and determines why and how that information is processed.

This notice applies to personal information submitted during the NovaX creator application process and, where an application is accepted, information retained to manage the resulting professional relationship. It should be read together with any more specific privacy information provided when additional information is requested.

Personal information we collect

We collect the following information directly from creator applicants:

Full legal nameUsed to identify the applicant.
Date of birthUsed to confirm age eligibility.
Country of citizenshipUsed for application and eligibility assessment.
Email addressUsed to communicate about the application.

Please provide accurate and current information. Do not submit personal information about another person unless you are authorised to do so.

How and why we use applicant information

We use the information listed above to:

receive, review and assess creator applications;
confirm age and other stated eligibility requirements;
identify suspected fraud, misrepresentation or duplicate applications;
request further information and communicate an application outcome; and
where an applicant is accepted, maintain contact and administer the creator relationship.

Depending on the circumstances, we process this information because it is necessary to take steps at the applicant's request before entering into a contract, because it is necessary for our legitimate interests in evaluating applications and operating a secure application process, or because processing is required to comply with a legal obligation.

Use of Google services

Independent from Google

NovaX Studios Ltd. is not affiliated with, sponsored by, endorsed by or acting on behalf of Google. Our relationship with Google is limited to maintaining an account and using Google services to receive and store application records.

Applicant information is stored using Google services within accounts controlled by NovaX Studios Ltd. Google may process information in connection with providing those services under its own terms, privacy policy and applicable data-protection safeguards. Access, sharing and security

Access to applicant information is limited to authorised people who require it for the purposes set out in this notice. Information may be processed through Google as our technology service provider. We do not sell applicant information. We may otherwise disclose information where required by law, necessary to protect legal rights, or where the applicant has authorised the disclosure.

We use reasonable technical and organisational measures intended to protect applicant information, including access controls and account-security measures. No electronic storage or transmission method can be guaranteed to be completely secure, and applicants should take care when submitting information online.

Google may process information from locations outside the United Kingdom when providing its services. Where international transfers occur, they are handled subject to Google's contractual terms and the safeguards required by applicable data-protection law.

Retention and deletion

Unsuccessful applications

If an application is rejected, we delete the applicant information listed in this notice after the outcome has been communicated and the application has been closed. A limited record may be retained only where required by law or reasonably necessary to establish, exercise or defend legal claims.

Accepted applications

If an application is accepted, we retain the information securely as an active contact and to administer the creator relationship. We review retained information and delete or anonymise it when it is no longer reasonably needed, subject to contractual, legal and regulatory retention requirements.

If an applicant withdraws before a decision, we will close the application and delete the information on the same basis as an unsuccessful application.

Applicants aged 16 or 17

Applications are open only to people aged 16 or over. An accepted applicant aged 16 or 17 must have a parent or legal guardian co-sign the relevant agreement. Applications identified as having been submitted by a person aged 15 or under, or containing false age information, will be rejected and the application data deleted in accordance with the retention section above.

Your data-protection rights

Subject to applicable law and any relevant exemptions, applicants may have the right to request access to their personal information, correction of inaccurate information, deletion, restriction of processing, transfer of certain information, or to object to processing based on legitimate interests.

To exercise a right, email contact@novaxstudios.art. We may need to confirm your identity before completing a request. There is normally no charge, although the law permits a reasonable fee or refusal in limited cases.
